The experts at Hilton Worldwide collaborated on a list of ways that hotels can help planners save money on their events. Some might surprise you.
1. Discounts on multiple events. While you may spend more initially, booking more events at one time—either one annually recurring event, or multiple events in one year—allows you to take advantage of significant rate discounts, rebates and bonus amenities. Experts are predicting room availability will be in high demand this year, so you’ll also have peace of mind knowing that you’ve secured the room blocks you need and jump-started the planning process.
2. Early bird discounts. Keep an eye out for seasonal promotions in the beginning of the year that offer discounted rates. For example, Hilton is kicking off the year with a Great Rates & Rebates offer, with room rates starting at $99 and bonus rebates when you book 2016 events now.
3. Cost-saving green ideas. Many think that hosting a sustainable event is costly, but there are simple ways to green your event that can save you month, like communal water stations or using in-season food. Tap your hotel for ideas.
4. Vendor packaging. Take advantage of the resources included in your event package, like A/V support and catering, as opposed to paying the mark-up third parties often charge. You’ll not only save budget, but also the time you would have spent liaising with different vendor reps.
5. Supplemental support staff. Whether you’re working alone or with a smaller team than usual, take advantage of the support staff your hotel partner provides to make sure you’re maximizing your time and budget effectively.
